Job Title:

Project Executive

 

Job Summary:

The Project Executive is responsible for the end-to-end management and successful delivery of authors' publishing projects, ensuring they are completed on time, within budget, and to high-quality standards. This role requires a strong focus on client relationship management, oversight, and actively identifying opportunities to upsell and cross-sell additional Services to clients to maximize project value and business growth.

 

Key Roles & Responsibilities:

1. End-to-End Project Management & Delivery

· Project Initiation and Planning: Take ownership of client projects from the initial order through to final delivery. Define project scope, create detailed schedules, and secure necessary resources.

· Service Coordination: Oversee the production workflow for a diverse range of publishing services, including:

i. Editorial Services: Editing, proofreading, Blurb Writing, Book Summary, Query Letter, Author Profile, Book Review, and Copyright page content.

ii. Production Services: Typesetting (Paperback and E-book), E-Book Conversion, Cover Design, and Printing.

iii. Registration & Distribution: ISBN registration and Database registration.

iv. Value-Added Services: Marketing Kit creation and Audiobook creation.

· Process Execution: Execute the typical process for all services, coordinating with internal departments such as Editing (for items like a Press Release) and Graphics Designers (for items like Teaser Images, Promo Videos, and Promo Posts).

· Quality & Risk Control: Ensure all deliverables meet quality standards and adhere to client requirements. Proactively identify and mitigate project risks, troubleshooting issues to keep the project on track.

· Reporting: Track project progress, manage timelines, and report on status to clients and internal stakeholders.

 

2. Client Relationship Management & Upselling

· Strategic Upselling: Actively look for and pursue opportunities to move clients into higher-tier service packages (Standard and Premium) or sell individual services that align with their publishing goals.

o Example: Identifying opportunities to upsell a Basic package client to Standard (adding Blurb Writing and ISBN registration) or to Premium (adding a Marketing Kit, Printing, and Audiobook).

· Consultative Sales: Serve as the client's primary point of contact, understanding their needs, intended audience, and platform strategy (e.g., for Promo Posts and Videos) to provide customized service recommendations.

· Client Communication: Maintain clear and consistent communication with authors, providing updates, managing expectations, and gathering information required to complete orders (e.g., video resolution, teaser dimensions, etc.).

 

Required Skills & Qualifications:

· Bachelor’s degree in Business, Communications, Publishing, or a related field.

· Proven experience in a Project Management role, preferably within the publishing, pre-press, or content services industry.

· Demonstrated ability to manage a pipeline of projects and deliver them successfully (end-to-end).

· Strong business acumen and a proven track record of successful upselling or cross-selling services to clients.

· Exceptional communication, negotiation, and client relationship management skills.

· Proficiency with project management software and tools.

· A solid understanding of the book publishing process is highly desirable.

Job Summary:

We are looking for a unique and versatile Creative Design & Typesetting Specialist to join our dynamic team. This role is perfect for a creative individual who is passionate about storytelling in all its forms—from the printed page to the social media feed. You will be the creative force that gives our clients' books their visual identity. You will be responsible for designing stunning book covers, professionally typesetting book interiors, and creating engaging social media content (graphics and video) to help authors market their work.

This is a critical role that directly impacts our authors' success. The ideal candidate is a master of visual design, an expert in typography and layout, and a savvy creator of digital marketing assets.

 

Key Roles & Responsibilities:

1. Book Cover Design:

· Collaborate directly with authors/support team and our editorial team to understand the book's genre, tone, and target audience.

· Conceptualize and design high-impact, professional book covers for both e-book and print formats (front, back, and spine).

· Develop multiple design concepts for author review and iterate based on feedback.

· Source stock imagery or work with illustrators as needed, ensuring all assets are properly licensed.

· Prepare and deliver final, press-ready files that meet the specific requirements of major platforms (e.g., Amazon KDP, IngramSpark).

2. Book Typesetting & Interior Layout:

· Take final, edited manuscripts and format them into professional, aesthetically pleasing book interiors.

· Establish a unique typographic style for each book, including font selection, chapter headings, margins, and spacing.

· Ensure a flawless reading experience by meticulously managing widows, orphans, and page flow.

· Prepare print-ready PDF files for physical books and format flowing-text EPUBS/MOBI files for digital distribution.

· Incorporate images, tables, or other graphical elements into the text as required.

3. Social Media Content Creation (Graphics & Video):

· Develop a suite of promotional graphics for authors to use on their social media channels, including book launch announcements, quote cards, and 3D mockups.

· Create short, compelling promotional videos, such as book trailers, animated cover reveals, or author Q&A clips.

· Design engaging visual content for our client's social media channels to showcase client work and promote our services.

· Ensure all content is optimized for various platforms (Instagram, Facebook, X, TikTok, etc.) and adheres to current best practices.

 

Required Skills & Qualifications:

Essential Technical Skills:

· Expert proficiency in Adobe Creative Suite:

o InDesign: Non-negotiable. Deep expertise in typesetting, style sheets, master pages, and pre-press is essential.

o Photoshop: Advanced skills in photo manipulation, compositing, and cover design.

o Illustrator: Proficiency for vector-based design elements.

· Video Editing Software: Strong skills in Adobe Premiere Pro or After Effects for creating professional-quality short videos.

· Typography: A sophisticated understanding of typography, kerning, tracking, leading, and layout principles.

· Pre-press & Digital Formatting: In-depth knowledge of print production standards (CMYK, bleed, trim, resolution) and e-book formatting standards (EPUB, MOBI).

· Social Media Savvy: A strong portfolio of social media graphics and videos, with a clear understanding of what performs well on major platforms.

 

Professional & Soft Skills:

· Portfolio: A strong, diverse portfolio showcasing all four key areas: book cover design, interior layout/typesetting samples, social media graphics, and video content.

· Experience: 3+ years of professional experience in graphic design, with at least 1-2 years directly in the publishing or self-publishing industry strongly preferred.

· Communication: Excellent verbal and written communication skills. Ability to translate an author’s vision into a tangible product and provide clear, constructive feedback.

· Creativity & Versatility: Ability to adapt design styles across a wide range of genres, from thrillers and sci-fi to romance and literary fiction.

· Attention to Detail: An impeccable eye for detail is critical. You must be able to spot a typo from a mile away and ensure every pixel and pica is perfect.

· Time Management: Proven ability to manage multiple projects in a fast-paced, deadline-driven environment.
